  • produce detailed proposals for events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets);
  • secure and book a suitable venue or location;
  • ensure insurance, legal, health and safety obligations are adhered to;
  • co-ordinate venue management, caterers, stand designers, contractors and equipment hire;
  • plan room layouts and the entertainment programme, scheduling workshops and demonstrations;
  • organise facilities for car parking, traffic control, security, first aid, hospitality and press;
  • identify and secure speakers or special guests;
  • co-ordinate staffing requirements and staff briefings;
  • sell sponsorship/stand/exhibition space to potential exhibitors/partners;
  • arrange accommodation for exhibitors and/or delegates;
  • prepare delegate packs and papers;
  • create, implement and monitor marketing and PR plans;
  • liaise with you and designers to create a brand/look for the event;
  • liaise with newspapers, TV, radio and other media;
  • write press releases or briefs in order to gain maximum exposure for the event;
  • organise the design and production of tickets, posters, catalogues and sales brochures;
  • co-ordinate everything on the day of the event to ensure that all runs smoothly;
  • guide you to follow accurately Malta‚Äôs protocol and the flag protocol if required
  • handle client queries on the day and troubleshooting exhibitor and visitor problems on the day;
  • oversee the dismantling and removal of the event, and clearing the venue efficiently;
  • carry out a post-event evaluation (including data entry and analysis and producing reports for event stakeholders).
